Information you provide

If you contact FMDV Systems, personal information may include your name, business email address, organisation, role, telephone number and information contained in your enquiry, project brief or subsequent correspondence.

If you become a client or supplier, FMDV Systems may also process information needed to scope and deliver work, administer the business relationship, issue or pay invoices, maintain project records and meet legal or accounting obligations.

The enquiry form on this website does not submit information to a FMDV web server. It prepares an email in your device's email application. Your information is only sent to FMDV Systems if you choose to send that email.

Technical website information

This website is hosted and protected using Cloudflare. When you access the site, Cloudflare may process technical information needed to deliver and secure the service, such as IP address, request and routing data, system or browser information, requested URLs and security events.

FMDV Systems does not use advertising trackers, behavioural profiling, a marketing mailing list or third-party website analytics at launch, and does not intentionally set non-essential cookies.

Why information is used

Personal information is used to respond to enquiries, understand potential requirements, prepare quotations or proposals, take steps requested before entering into a contract, deliver agreed services, manage client and supplier relationships, maintain appropriate business and financial records, protect FMDV Systems and its systems, and deal with questions, disputes or complaints.

Depending on the circumstances, FMDV Systems relies on one or more of the following lawful bases: taking steps at your request before entering into a contract; performing a contract; complying with a legal obligation; and legitimate interests in communicating with prospective and existing business contacts, operating and improving the business, maintaining appropriate records and protecting systems and legal rights.

Technical website data is processed where necessary for the legitimate interests of securely delivering, maintaining and protecting the website.

Who information may be shared with

Personal information may be processed by service providers used to operate FMDV Systems, including Cloudflare for website delivery and security and Microsoft 365 for business email and productivity services. Information may also be shared with payment or banking providers, professional advisers, insurers, subcontractors or specialist suppliers where relevant to an agreed project, and law-enforcement bodies, regulators or other authorities where reasonably necessary or required by law.

FMDV Systems does not sell personal information.

International processing

Some technology service providers operate internationally and may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, FMDV Systems relies on the safeguards provided through the relevant service arrangements.

How long information is kept

General enquiries that do not develop into a client relationship are normally retained for no longer than 12 months after the last meaningful contact, unless there is a reason to keep them for longer.

Client, supplier, contractual, project and financial records may be retained for up to six years after the relevant relationship, project or accounting period ends where this is reasonably necessary for tax, accounting, contractual, legal or dispute-resolution purposes. Some records may be kept for a different period where the law or the nature of the record requires it.

Information that is no longer required is deleted or securely disposed of when reasonably practicable.

Your rights

Depending on the circumstances, you may have rights to access your personal information, correct inaccurate information, request erasure or restriction, object to certain processing and receive certain information in a portable format. Where processing is based on consent, you may withdraw that consent.

Your right to object: where FMDV Systems relies on legitimate interests, you may object to that processing. FMDV Systems will consider the circumstances and stop the processing where required by law.

To exercise a data-protection right, email hello@fmdvsystems.com.

Complaints

If you have concerns about how personal information is handled, please contact FMDV Systems first so the issue can be investigated. You also have the right to complain to the UK Information Commissioner's Office (ICO). Information about making a complaint is available at ico.org.uk.
